Office Manager, Medical Practice
Daily management of the business and administrative functions of office to ensure successful and continuous operations and work flow, including but not limited to managing administrative and clinical staff & structure, work flow, provider and patient relations, and site operations.
Direct and coordinate all activities related to patient & provider care and services
Manage and manipulate patient, physician and staff schedules to ensure efficient and effective operational work flow;
Coordinate, monitor clinical, technical, administrative, billing work activities;
Direct and manage staff, including responsibility to hire, train, develop, and manage all aspects of performance, behavior, rewards & recognition, discipline, policy & compliance;
Manage work schedules, payroll, time and attendance;
Implement, communicate and manage changes necessary for Practice growth;
Interact and communicate with administration as well as all other offices and functional departments to implement work procedures and protocols and to accomplish goals and expectations of practice;
Act as liaison to facility/building management, contractors and vendors to ensure office is operable/functional, clean, safe, stocked with adequate and appropriate supplies, equipment, and resources;
Manage office budget, including purchasing activities in a manner that ensures fiscal responsibility;
Quality Assurance: Work with Clinical team to implement and ensure QA activities
Education/Experience Requirements include AA/AS Business Management, Office Management or commensurate education/experience. BA/BS preferred. Health Administration or Medical Office Certification desired; 2-3 years people and project/process management experience in a fast paced busy office desired. Previous experience managing a department and staff required (preferably in healthcare/medical practice); Clinical education helpful but not required. Demonstrated knowledge of medical practice operations, protocols, terminology, procedures required; Demonstrated leadership and management skills, including strong influencing skills, change management, ability to motivate, time management, decision making, as well as demonstrated use of good judgement and discretion; Strong interpersonal skills; including excellent written and verbal communications skills; able to communicate with professional and medical staff; Must be able to have difficult conversations, handle difficult staff and situations, give positive and negative feedback, must be able to address conflict; Strong analytical and problem solving skills; Ability to respond to emergency and stressful situations with composure, diplomacy and tact; Proficiency w/computers/applications applicable to healthcare as well as E-mail, and Internet; Previous work with EMR/EHR technology and systems. Patient Services Scheduling (Newtown, PA)
Initial point of contact via phone/scheduling call center. Provides customer service and scheduling support for patients and visitors to the Practice. Answer phones, schedule & prepare for appointments per scheduling protocols and provider schedules. Collect, review and verify patient demographics, insurance, referring physician and primary care information. Medical Administrative Assisting certificate preferred or comensurate experience. 1-2 years customer service experience, healthcare preferred. Previous call center experience managing high volume of calls. Experience with insurances & medical terminology. Must have strong interpersonal skills including excellent verbal and written communication as well as strong organizational and time management skills. Must be able to multi-task and problem solve in high volume environment. Proficient with computers and EMR/EHR technology. Willing/able to travel to other office locations. Full-time, 40 hours, benefit eligible.
Registered Nurse (PA home base)
Provide nursing care, support, assessment, monitoring and follow up for specialty cardiac patients in medical office. This position will challenge you to provide both direct patient care and tele-health. Must have current PA license (will be required to obtain NJ license within few months of hire); CPR/Basic (BLS) and Advanced (ACLS) certification required; 1-3 years patient care experience, specifically in cardiac/critical care. Specific knowledge of cardiac conditions, medications, procedures and protocols, including anti-coagulation protocols. Previous work in a medical office/practice environment providing tele-health or similar experience preferred. Must be proficient in EHR/EMR systems and technology. Excellent interpersonal skills, including strong verbal/written communication (and nursing documentation). Must be organized and have ability to manage time and multi-task in a high volume, fast-paced office. Strong independent problem solving, critical thinking and analytical skills neccessary for patient triage and assessment. Willing/able to travel to other office locations if necessary. CMA/RMA (per diem to support NJ and PA)
Provide clinical support for patient care; room patients, record vitals, histories, meds, respond to inquiries, support nursing staff. Must have current RMA/CMA license through AMT, NCCT or NHA and CPR (BLS) cert. 1-2 year clinical hands-on work experience preferably in cardiology specialty (familiar with cardiac medications and conditions, EKGs, holters, etc.). Strong working knowledge of terminology, protocols & processes relevant to healthcare. Proficient with computers and EMR/EHR technology. Patient Services Reception
Point of contact for patient check-in and check-out, registration, scheduling, & other functions to coordinate visit. Complete accurate screening at time of registration/patient encounter. Nurse Practitioners (Office, hospital and testing)
General Cardiology: office, hospital, stress testing: Functions as clinician, collaborator, consultant, researcher, and educator to accomplish desired clinical outcomes. A self-directed advanced practice professional responsible for hospital rounding, office visits and testing. Works with the collaborating physician and department administration to meet needs of patients and the Practice. Graduate of accredited School of Advanced Nursing with current Nurse Practitioner license in the State of NJ. dual (PA) license preferred. Experience/emphasis in cardiology/cardiovascular disease. Must hold certification in CPR/BLS/ACLS for cardiology. Valid certificate to prescribe in accordance with NJ license requirements.
Echo, Vascular and Nuclear Technicians (NJ and PA)
MBC has 3 accredited labs (echo, vascular and nuclear) located in 3 of its facilities (Newtown, PA, Lawrenceville and Robbinsville NJ). We employ full and part-time technologists to support these labs. Techs perform tests in accordance with established departmental protocols and policies as per ASE and IAC guidelines. Tech works in conjunction with the cardiologist and alerts him/her when abnormalities are present. Prepare patient for procedures; Complete necessary documentation of tests including reports for physician and hospital records. Review patient assessment of signs and symptoms including documentation of patient’s medical history, medications, and presenting symptoms.
Required: Techs must be registered and certified: ARDMS, ARDCS, CCI, NMTCB, with relevant certification (ECHO: RDCS RCS; Vascular: ARVT or RVS; and Nuclear: NMT) and must also have BLS/ACLS certification. Must be proficient in computers, EMR/EHR systems, and familiar with testing equipment (our tests are performed using the Phillips, GE, etc.). Tests performed include non-invasive adult echo, echo bubble, stress echo, 2D and M-Mode scans and color doppler flow tests, abdominal aorta, ABI/PVI, carodit, nuclear stress, etc.
Billing Charge Entry
Perform billing functions necessary to support the success of the revenue cycle for medical practice, including charge entry & postings. Education/training and/or certificate in Medical billing program desired or commensurate experience; 1-3 years medical billing experience in specialty medical practice, cardiology experience preferred. Understanding of terminology, protocols & processes relevant to healthcare, including HIPAA. Excellent communication and interpersonal skills. Must be detail oriented and be able to multi-task, problem solve and apply time management & organization skills. Full-time, Mon-Fri, 40 hours, benefit-eligible, varied work hours and overtime may be necessary. Flexibility required.
Financial Service Reps
Provide support as part of the revenue cycle. Act as resource to patients and staff by phone or direct contact regarding insurance coverage, eligibility, or financial responsibilities; accommodate needs and provide patients with financial counseling regarding best possible resolutions. Interact with internal departments serving as expert on insurance eligibility. Coordinate with clinical staff and insurers carriers to estimate cost of care, review insurance issues, evaluate eligibility for Medicaid, charity care, or other reimbursement programs. 1-3 years medical billing and/or medical financial services experience in medical practice (speciality / cardiology practice desired) or hospital, or with insurance carriers. Excellent customer services skills, ability to respond to patient needs with tact and composure. Ability to problem solve. Proficiencies required in medical billing protocols and regulations, EMR/EHR billing systems, and various independent, commercial insurances as well as Medicare.
Review ICD/CPT codes to ensure/verify provider billing accuracy for services and testing, and maximize reimbursements. Review/compare codes billed by providers based on standard industry guidelines. Audit/review claims against submitted documentation and ensure documentation supports coding. Make adjustments and modifications as supported. Audit/review medical records to determine appropriate coding. Obtaining missing information from provider. Provide education to physicians, practitioners and other staff regarding coding guidelines and protocols. Medical Coding/Certified Professional Coder (CPC) certificate required. One to three years of medical billing in a specialty medical practice. Specific experience in cardiology is preferred. Working knowledge of and experience with electronic billing and EMR systems. Excellent interpersonal, time management & organization skills along with strong analytical skills. Understanding of terminology, protocols & processes relevant to healthcare.
